1. Discovery & Onboarding

  • Conduct a kickoff meeting with the client to gather business goals, target audience, current challenges, budget, and timeline.
  • Provide the client with an onboarding questionnaire to capture relevant details (branding assets, existing systems, user personas, style guidelines).
  • Assign a project manager and share contact points, communication channels, and preferred collaboration tools (e.g., Slack, MS Teams, email).
  • Deliver and sign a project brief or scope document outlining key deliverables, milestones, roles and responsibilities.

2. Strategy & Research

  • Research the client’s industry, competitors, and user behavior to identify opportunities and gaps.
  • Develop a strategy document (SEO audit, marketing channels, content plan, technical architecture for apps/sites) and present to the client.
  • Obtain client approval for strategy, timeline and budget before proceeding.

3. Planning & Documentation

  • Create a detailed project plan with milestones, deliverables, dependencies, and deadlines.
  • Draft functional requirements document (for software/app) or creative brief (for marketing/content) covering features, pages, user flows, UX/UI specifications.
  • Prepare design documentation: wireframes, sitemap, content outline, style guide.
  • Define measurement and KPIs – how success will be evaluated (traffic, conversions, engagement, load times).

4. Design & Development

  • Share design mock-ups or prototypes with the client for feedback and approval.
  • Develop the solution in iterative cycles (e.g., agile sprints) and provide regular progress updates.
  • Maintain documentation of code, APIs, integrations, third-party services, database schema (for IT projects).
  • For digital marketing, maintain documentation of campaigns, content schedules, ad creatives, budgets.

5. Testing & Review

  • Conduct quality assurance (QA) testing: functional tests, usability, performance, cross-device/browser compatibility, security checks.
  • Share test reports and findings with client; gather feedback and implement revisions.
  • For marketing campaigns: preview ads, test tracking/setup, run a pilot phase and document results.

6. Launch & Handover

  • Prepare a launch checklist: domain, hosting setup, SSL, backups, analytics, campaigns live, tracking tags, final QA sign-off.
  • Provide client with documentation package: user manuals, admin guides, style guide, content management instructions, campaign reports.
  • Conduct a hand-over meeting/training session with the client’s team to walk through the solution, workflows, and support processes.

7. Maintenance & Performance Monitoring

  • Document maintenance plans: update schedules, backup routines, security patches, campaign optimizations.
  • Provide regular performance reports (monthly/quarterly): traffic analytics, conversion rate, uptime, load times, ROI of marketing.
  • Set a review cadence: periodic strategy reviews and adjustments based on data and client feedback.

8. Change Control & Client Sign-Off

  • Maintain a change-request process: the client submits a change request, we document the scope, impact on timeline/cost, and the client approves.
  • At key milestones and at project completion, obtain formal client sign-off on deliverables and documentation.
  • Archive project documentation securely for future reference and support.
